We collect information you provide directly, information collected automatically when you use our platform, and information provided by your organization's ATS or CRM integrations.

  • Account information: name, work email, company, and role
  • Candidate data: resumes, contact details, application history, and interview notes uploaded by our customers
  • Usage data: pages visited, features used, and device/browser information
  • Integration data: records synced from connected ATS, CRM, or HRIS systems

2. How we use information

  • Operate and improve the sourcing, screening, and analytics features of the platform
  • Provide customer support and respond to inquiries
  • Generate aggregated, de-identified insights to improve matching accuracy
  • Send product updates and service communications
  • Meet legal, security, and compliance obligations

3. Candidate data

Candidate data is uploaded and controlled by the recruiting team or agency using Crewbies (our “customer”). We process this data on the customer's behalf and in accordance with our customer agreements. Candidates with questions about their data should contact the recruiting team or agency that submitted it.

4. Sharing of information

  • With service providers who support hosting, analytics, and customer support
  • With connected ATS/CRM/HRIS platforms your organization has authorized
  • To comply with law, regulation, or valid legal process
  • In connection with a merger, acquisition, or sale of assets, with notice to affected users

5. Data retention

We retain personal data for as long as needed to provide the platform and as required by our customer agreements. Customers can configure automated data-retention and deletion schedules through the Compliance & Audit Toolkit.

  • Request access to, correction of, or deletion of your personal data
  • Opt out of non-essential marketing communications at any time
  • Contact your organization's Crewbies administrator for platform-level data requests

7. Security

We use industry-standard technical and organizational measures, including encryption in transit and at rest, access controls, and regular security reviews, to protect personal data against unauthorized access, alteration, or loss.
